Pedal Ventures Holidays Ltd ("Pedal Ventures," "we," "us," "our") is a UK-registered travel company (Company Number: 16177155) located at 102 Cromwell Road, London, England, SW19 8NA. We specialise in organising and coordinating cycling holidays in partnership with carefully selected third-party providers ("the suppliers") who deliver key elements of your trip, such as accommodation, meals, and guided cycling tours. Your payments are financially protected through our membership with Protected Trust Services, membership number: 6279.
Pedal Ventures will be your dedicated point of contact before, during, and after your trip. We handle all customer service, communication, and payments, working closely with suppliers to ensure your holiday runs smoothly.
Your booking includes arrangements provided by third-party suppliers. These suppliers are responsible for delivering the services you receive during your holiday. Pedal Ventures acts as your travel organiser and main point of communication and support. A contract for your holiday arrangements comes into effect when we issue a confirmation invoice.
Your booking is governed by English Law. Any disputes or claims relating to your holiday arrangements will be handled under the jurisdiction of the courts of England and Wales, unless otherwise agreed with the supplier.
Pedal Ventures collects all payments on behalf of suppliers and manages your payment schedule. The standard deposit is £200 per person unless otherwise stated at the time of booking.
However, the deposit we require may be higher if special terms apply, for example, a special accommodation offer, or booking at peak times that requires immediate payment of the full accommodation cost, or a higher deposit to secure. We refer to this as a “special booking” in these conditions. We will notify you at the time of booking if this applies along with the amount of deposit that is required to secure the booking.
Full payment is typically due 10 weeks before departure. Failure to pay on time may result in cancellation in accordance with the below terms.
Holiday prices include the services outlined in your itinerary and are subject to change due to factors like exchange rates or supplier costs. We will communicate any changes as soon as we are made aware of them.
All holiday descriptions and information are compiled using the latest details provided by our suppliers. We aim to ensure accuracy but cannot guarantee the availability or condition of third-party services.
Please note that there is not a common classification system to grade hotels and resorts. We have graded hotels and resorts on our website on the basis of our knowledge and experience. If we receive prior notification of alterations to any accommodation, services or facilities we will inform you as soon as reasonably possible. It should be noted that destination information is for guidance purposes only and that the photographs on the website are used to give an impression of the accommodation and services offered.
We cannot guarantee that the weather conditions will be suitable for sporting or other outdoor activities. We shall not be held responsible for any loss, delay or costs whatsoever connected with adverse or weather conditions which are inappropriate for your intended activities.
If you wish to cancel or amend your booking, please let us know as soon as possible. We will liaise with suppliers on your behalf to arrange changes. Amendments are subject to availability and may incur an administration fee of £25.00 per person, as well as any applicable supplier charges.
A change of holiday dates will normally be treated as a cancellation of the original booking and rebooking in which case cancellation charges will apply. Changes may result in the recalculation of the holiday price where, for example, the basis on which the price of the original holiday was calculated has changed. Any changes requested within 10 weeks of departure may be treated as a cancellation and rebooking.
In a group booking where preferential group rates are obtained, if members of the group cancel and reduce numbers to below the requisite number for a group after the deposit is paid, the balance due for the cancelled passengers will be payable. There may also be additional charges for other components of your holiday. You will incur the cancellation charges as set out in the table below for general bookings and we reserve the right to recalculate the balance of the holiday accordingly.
You may transfer your booking or your place on the booking to someone else (introduced by you) without payment of our cancellation charges providing the request for the transfer is made in writing not less than 7 days before departure. The person(s) to whom you wish to make the transfer must also satisfy all conditions which form part of your contract with us. Requests for transfer must be accompanied by the name and other applicable details of the replacement person(s). Where a transfer to a person of your choice can be made, all costs and charges incurred or imposed by any of our suppliers, together with an amendment fee of £25.00 per person, must be paid before the transfer can be effected.
You may cancel your confirmed booking at any time before departure. If you want to cancel your booking after we have confirmed it, you must do so by email or by posting or hand delivering written notice of cancellation to us or your travel agent. Your notice of cancellation will only be effective when it is received in writing by us at our offices. As we incur costs from the time we confirm your booking, the cancellation charges on the scale shown below will be payable, based on your original booking departure date. In calculating these cancellation charges, we have taken account of possible cost savings, and the generation of income from other bookings which may be able to utilise cancelled services to the extent this is likely to be achievable. Cancellation charges are calculated on the basis of the total cost payable by the person(s) cancelling, excluding insurance premiums and any amendment charges (which are not refundable in the event of cancellation).

Depending on the reason for cancellation, you may be able to reclaim these cancellation charges (less any applicable excess) from your travel insurer. Claims must be made directly to the insurance company concerned after you have paid the applicable cancellation charge to us.
Where any cancellation reduces the number of full paying party members below the number on which the price, number of free places and/ or any concessions agreed for your booking were based, we will recalculate these items and re-invoice you accordingly.
We will not make any refunds in respect of any unused element of your holiday, including but not restricted to, flights, accommodation or transfers.
Occasionally, suppliers may need to make changes or cancel elements of your holiday. We will notify you of any significant changes and assist in arranging suitable alternatives or processing applicable refunds or compensation, in line with supplier terms.
Comprehensive travel insurance is required for all customers. You must ensure your policy covers cancellation, medical treatment, and any activities you plan to take part in.
In the event of unavoidable and extraordinary circumstances (e.g., natural disasters, political unrest), we will support you to the best of our ability, but the supplier’s policies will determine refund or amendment options.
It is your responsibility to ensure you meet passport, visa, and health requirements for your trip. We recommend checking official guidance before travelling.
You are responsible for your behaviour and any damage you cause during your holiday. Suppliers reserve the right to terminate services if behaviour is deemed inappropriate or disruptive.
We take care in selecting reputable suppliers, but your holiday services are ultimately delivered by third parties. Pedal Ventures is not liable for the performance of those services, except where negligence can be shown in our booking process or support.
Each supplier involved in your holiday operates under their own terms and conditions. These form part of your contract, and we will provide access to these on request.
Any optional excursions or activities not included in your itinerary are provided by third parties. We are not responsible for their delivery or safety standards.
We will pass on any special requests (e.g., dietary needs or accessibility requirements) to suppliers and will do our best to support you. However, these cannot always be guaranteed.
Your personal information is used only as necessary to arrange and manage your holiday. We share relevant details with suppliers to ensure service delivery.
If you experience any issues during your holiday, please contact us immediately so we can assist. We will liaise with suppliers and support you in resolving concerns as quickly as possible.
